Why your tech stack now runs everything behind every guest stay, and how to choose wisely

TL;DR: If you manage short-term rentals professionally, technology probably touches almost every part of your business. Your PMS, pricing, guest communication, operations, access, payments and owner reporting all depend on it - and that’s before you start adding AI and automation. The challenge today isn’t finding technology. It’s understanding what your business actually needs, how different systems work together and which solutions make sense for the way you operate.

Think about how many pieces of technology sit behind a single guest stay.

The booking might arrive through an OTA connected to your PMS. Your revenue management system helped set the price. Automated messaging handles the pre-arrival communication. A smart lock manages access. Your operations platform tells the cleaning team when the property needs to be ready. And somewhere in the background, data is feeding into your reporting for the owner.

To the guest, it’s one stay.

To you, it can be six, seven or more systems working together to make that stay happen.

It wasn’t always like this.

For years, we talked about short-term rentals largely through the language of hospitality and distribution: listings, bookings, occupancy, channels and guest experience.

All of those things still matter.

But the infrastructure sitting behind them has changed enormously.

Technology isn’t supporting the edges of your short-term rental business anymore. Increasingly, it’s what holds the whole thing together.

From spreadsheets and manual processes to an STR tech stack

If you’ve been in the industry for a while, you’ll remember when running a short-term rental portfolio involved considerably less technology.

Bookings came through fewer channels. Guest communication was largely manual. Cleaning schedules could be managed through spreadsheets, WhatsApp messages or phone calls. Pricing could be adjusted by hand.

That might still work when you’re managing a handful of properties, but as your portfolio grows, so does the complexity behind it.

Suddenly you’re managing hundreds or thousands of guest messages. Properties need to be cleaned, inspected and maintained at exactly the right time. Rates need to react to changing demand and owner clients want accurate performance data. Guests expect quick answers and frictionless arrivals. Your team needs access to the right information without everything having to pass through one person.

Technology has stepped into each of those areas.

And that’s how you end up with a short-term rental tech stack: the combination of software, platforms and services your team relies on to keep the business running.

What actually sits inside a short-term rental tech stack?

There’s no standard STR tech stack, and there probably shouldn’t be.

If you’re managing 30 city-centre apartments, your needs won’t necessarily look like those of an operator managing 300 luxury villas or a multi-market property management company with several thousand units.

But your technology stack could include:

  • Property management software (PMS)
  • Channel management and distribution technology
  • Revenue management and dynamic pricing
  • Guest communication and AI messaging
  • CRM and lead management
  • Housekeeping, maintenance and operations software
  • Smart locks and access management
  • Guest screening and fraud prevention
  • Payments and accounting
  • Owner communication and reporting
  • Business intelligence and analytics
  • Digital guidebooks and guest apps
  • Upselling and ancillary revenue tools
  • Direct booking technology
  • Marketing and reputation management

And that’s by no means an exhaustive list.

For almost every operational challenge you face, there’s a good chance somebody has built technology to help solve it.

That’s great news.

Until you have to decide which one you actually need.

The challenge isn’t finding STR technology anymore

Start researching a new PMS and you’ll quickly see what we mean.

There isn’t exactly a shortage of choice.

You can compare features, pricing, integrations, demos, customer reviews and websites. You can ask other property managers what they use. You can head into an industry Facebook group and ask for recommendations.

And that’s often where things get interesting.

One operator tells you they couldn’t run their business without Platform X.

Five minutes later, somebody else tells you they’d never use Platform X again.

Neither of them is necessarily wrong. They’re just running different businesses.

Which is why “What’s the best PMS?” isn’t really the question you need to answer.

It’s: “What’s the best PMS for the way we operate?”

The same goes for revenue management software, guest communication platforms, operations technology and almost every other part of your tech stack.

How many properties do you manage? Where are they? What type of properties are they? How is your team structured? What systems do you already use? Which integrations matter? What problem are you actually trying to solve?

The right technology decision depends on the answers.

One technology decision can affect your entire operation

This is also why choosing technology isn’t simply about comparing feature lists.

Very few systems in your business operate completely independently.

Your PMS might connect to your distribution channels, revenue management platform, guest communication, operations, accounting and reporting.

Change that central piece of technology and you’re potentially changing workflows across the entire business.

The same is true elsewhere in the stack.

Change your guest communication platform and you may change how operational issues reach your team. Introduce smart access and you may redesign your check-in process. Switch revenue management systems and you may change reporting, pricing workflows and who in the business makes certain decisions.

And if you’ve ever been through a major PMS migration, you certainly don’t need us to tell you that changing technology isn’t always as simple as cancelling one subscription and starting another.

Your technology choices have become business decisions, so when you’re considering a new platform, you can’t just ask what it does.

You also need to ask where it fits.

More technology doesn’t automatically mean a better business

This is where another problem can creep in.

There is always another tool or another platform promising to automate something. Another dashboard. Another integration. Another AI solution that will apparently transform the way you work.

But having a sophisticated tech stack doesn’t mean having the biggest tech stack. In fact, sometimes the smartest decision you can make is not to add another piece of software at all!

Before you do, ask:

  • What problem are we actually trying to solve?
  • Can something we already pay for solve it?
  • Will this work with the technology we already use?
  • Who in our team needs it?
  • Will it genuinely save time, make money or improve the experience for our guests or owners?
  • And is that improvement worth the additional cost and complexity?

Sometimes the answer will absolutely be another specialist platform, but often it will be using what you already have more effectively.

The important thing is starting with the business problem rather than the technology.
